LED lighting dance floor in an event setting

To compare LED dance floor quotations, give every supplier the same layout, panel configuration and accessory list, then compare the complete usable system. A panel price alone does not show whether control equipment, edge pieces, transport cases, spare parts or the agreed delivery scope are included. Put unresolved items in a separate column before deciding which offer fits your business.

This checklist is for overseas distributors, rental companies and venues buying lighting equipment. It covers star, RGB Pixel and mirror-effect dance floors, rather than video display floors. For a broader discussion of supplier selection, start with our manufacturer buying guide. Here the task is narrower: turning different quotations into one clear purchasing comparison.

1. Freeze the configuration before asking for a total

Write down the intended assembled panel layout, not only a familiar event size. Specify the panel footprint, number of rows and columns, and whether the requested outer dimensions include edge ramps. If the supplier proposes a different module size, ask for a revised layout drawing and the resulting assembled dimensions. Keep that alternative separate from the baseline offer.

Describe the lighting effect and surface independently. A mirror effect, a frosted surface and a control option are different decisions. Request the exact product version in writing. DanceFloorLED's 3D Abyss floor, frosted floor, Pixel lighting floor and star floor have their own configuration details. Do not assume one model's accessory or controller specification applies to another.

2. Use a line-by-line quotation comparison table

Send the same table to each seller and ask them to mark every row included, optional or excluded. An empty cell is a question, not a zero-cost item. Compare the stated quantity and specification as well as the amount. Keep one currency for your working comparison and record the exchange-rate date if you convert an offer internally.

3. Separate magnetic connection from battery power

A connection description should not be used as shorthand for the whole electrical system. A magnetic panel connection does not by itself mean that the floor has rechargeable batteries. Our published Pixel, star and frosted product information lists alternative wired, magnetic and rechargeable magnetic configurations; those are choices to confirm, not a promise that the hardware is interchangeable.

Ask the seller to identify how the selected version receives power, which components come with it, and which connection items are needed for your layout. If your project requires a rechargeable option, request its specific configuration and operating documentation. Compare that offer against another rechargeable configuration, rather than against a differently powered base package.

4. Define what “controller included” actually means

List the intended everyday operating task: selecting stored effects, using a handheld remote, controlling from a computer or integrating with an existing lighting workflow. Ask for the exact controller and the compatible floor version. Where software is proposed, ask whether the offer includes any necessary licence, interface or user-supplied device. A reference to software compatibility does not establish that a licence or computer is included.

Request a simple connection diagram and a demonstration of the quoted combination. Keep the demonstration tied to the proposed configuration. The comparison should answer who supplies each item, what the operator needs to provide, and what documentation accompanies delivery. Our connection systems guide helps frame those questions without treating every control option as universal.

5. Count perimeter pieces, cases and service spares

Edge pieces can disappear inside a package description even though a buyer still needs to know their type and quantity. Request an itemised perimeter plan. If the floor may be assembled in several shapes, list those layouts and ask which edge arrangement supports each one. Do not assume that pieces counted for one rectangle cover every future arrangement.

Request a packing allocation showing which panels and accessories belong in each case or carton. Our published 3D Abyss information lists flight-case packing; star, Pixel and frosted pages list flight-case or carton options. Those descriptions do not establish a universal case capacity or shipment weight. Obtain the packing details for the configuration actually being quoted.

For spares, ask for identifiable parts and compatibility information rather than a percentage without a parts list. Separate replacement panels from smaller service items. Agree which tasks your team is expected to carry out and which require supplier support. A spare is useful only when the receiving team can match it to the delivered system.

6. Compare delivery boundaries, not the word “shipping”

Put the destination country, city and required handover location in the enquiry. Ask which transport services and charges are included and which require a separate arrangement. Show freight, packing and any other separately quoted charges on distinct lines. Request the offer's validity period and identify assumptions that could change the final amount.

If the parties use an Incoterms rule, record the chosen rule, precise named place or port and version in the commercial documents. ICC's guidance explains that these rules address responsibilities, risk and costs, but are not a complete sales contract. They do not replace agreement on product specifications, payment or remedies. Ask your freight adviser to clarify the proposed scope before accepting an offer.

Keep production readiness, collection, estimated transport and arrival requirements as separate planning entries. Request the supplier's proposed schedule for this order; do not convert a general website statement into a guaranteed project deadline. A launch event needs a receiving and checking window as well as a transport estimate.

7. Copy this RFQ into your purchasing enquiry

Project: [rental fleet / distributor order / venue]
Destination and handover location: [country, city, full location]
Required event or availability date: [date; explain flexibility]
Product and effect: [star / Pixel lighting / 3D mirror / frosted]
Panel size and proposed layout: [rows, columns, quantities]
Surface and connection version: [specify or request alternatives]
Power and control requirements: [selected workflow and destination]
Please itemise: panels, power items, controller/interfaces,
cables, edges/corners, cases/cartons and service spares.
Please provide: layout drawing, equipment list, packing allocation,
package dimensions/gross weights and operating documentation.
Please state: included/excluded items, delivery scope and named
point, quotation validity, proposed schedule and payment terms.
Please identify any difference from this baseline separately.

Attach an existing quotation only if you are authorised to share it. Otherwise, transfer the required specifications into your own comparison sheet. Keep supplier-specific commercial information within your purchasing team and ask each seller to clarify their own offer.

8. Close the gaps before approving the order

Mark each comparison row confirmed, alternative proposed or unresolved. Ask for one consolidated revision when the configuration changes, so the order does not depend on several conflicting messages. Reference the final drawing, equipment list and packing proposal in your approval record. Before dispatch, carry those identifiers into the shipping and receiving checklist.

Send your completed requirements through our quotation enquiry or email sales@primedancefloor.com. DanceFloorLED can review the requested lighting floor configuration and clarify the proposed package. The purpose is a quotation your team can evaluate item by item, with assumptions visible before money and freight arrangements are committed.

Questions about this guide

01What should an LED dance floor quotation include?

Ask for the selected panel version and quantity, power and control equipment, connection items, edges, packing, spares and delivery scope. Have each line marked included, optional or excluded.

02Does magnetic connection mean a battery-powered floor?

No. Panel connection and power configuration are separate questions. Confirm the exact version and its included equipment rather than assuming magnetic panels contain batteries.

03Can panel prices from different offers be compared directly?

Only after the layout, configuration and included package have been matched. Unspecified controllers, edges, packing or transport scope can make panel-only comparisons misleading.
